Position Summary

Guest Services Event Coordinator oversee the day-to-day scheduling and coordination of events in the Hunter Alumni Center. This position is also responsible for the scheduling, contracting and coordination of SUU athletic camps, and other summer camps and conferences held at SUU mostly during the summer months. This includes coordination of meeting rooms, grounds, housing and billing for these camps. This position interfaces with key campus individuals as part of a larger event management team.

This includes ongoing communication with students, faculty, staff, outside clients and community members and organizations. S/he will assist in the oversight of student employee coordinators and house manager, including overseeing the student work schedule in the Hunter Alumni Center. In addition, will work closely with the building manager to ensure a high standard of building maintenance to give each guest an elevated experience while in this facility.

This position is responsible for customer billing for Guest Services, including Facilities Use Agreements, estimates/invoices, and collecting insurance documentation. They will also work with other offices on campus to track and record these payments. This individual will work directly with the Manager of Guest Services and a team of student employees ensuring a professional demeanor and excellent customer service to all visitors and guests.

Functions
  • Responsible for the oversight and implementation of daily events in the Hunter Alumni Center, ensuring walkways, building and rooms are ready for guests.
  • Oversight of event agreements, insurance, and Guest Services billing – Facilities Use Agreements, estimates/invoices, and collecting insurance documentation.
  • Scheduling and coordination of SUU athletic camps and other summer camps on campus, working with SUU Housing to schedule housing, generate contracts, invoice and collect insurance documentation.
  • Work directly with Facilities Management teams and others to ensure open communication with event execution.
  • Assist Guest Services manager in the hiring, training and supervising of student employees.
  • May require limited after‑hours work if an event needs additional oversight; this is very rare and would be in exchange for equal hours worked during the regular workday.
  • Other duties and responsibilities may be assigned as needed to ensure the success of events and the guest experience at Southern Utah University.
Education & Experience

Minimum Qualifications
  • High School or GED.
  • May consider relevant experience with a proven strong work history in event management and customer service.
  • Demonstrated verbal and written communication skills, with an ability to communicate professionally and effectively face‑to‑face, by phone, and via written communication over email.
  • Strong work ethic and good time management skills.
  • Must be motivated and a self‑starter.
  • Ability and willingness to work independently and with a team.
  • Possess a high degree of attention to detail and be well organized and efficient, while managing multiple projects, often with short deadlines.
  • Fluent knowledge of Microsoft and Google software platforms. Basic knowledge of Quickbooks is a plus.
  • Ability to learn other campus computer applications (Banner, Quickbooks, and Ad Astra or most current scheduling software).
  • Supervisory experience.
  • Ability to take direction.
  • Ability to maintain confidentiality.
