Administrative Assistant | Southern Utah University The Tone
This is a Part‑time, Hourly position at Southern Utah University, located in Cedar City, UT. This role is crucial to the Student Affairs division, specifically ensuring the efficient daily operation of the childcare center. By managing administrative functions, maintaining accurate records, and coordinating office procedures, this position directly supports staff, families, and the overall center operations.

- Team:
Student Affairs division, partnering with the Business Operations Manager and Center Director. - Mission:
Ensure the efficient day‑to‑day operation of the childcare center by managing administrative functions and supporting center stakeholders. - Tech Stack:
Brightwheel, success hubs, banner, purchasing, Kid Kare, Microsoft Word, Excel, Google Drive
- Front Desk Management:
Supervise and oversee the Front Desk area, including answering phones, scheduling tours, and greeting guests, parents, and children. - Administrative Support:
Perform general administrative duties such as typing, word processing, creating spreadsheets, logging childcare tuition into Brightwheel, maintaining local and online files, and answering correspondence. - Software Utilization:
Become proficient in and utilize university‑specific software like success hubs, banner, and purchasing systems, as well as Kid Kare software for data entry, tracking meals, and attendance for the Federal Food program. - Scheduling Coordination:
Assist the Center Director with daily scheduling tasks, including processing schedule changes, accommodating drop‑in requests, and coordinating shift coverages. - Center Operations Support:
Document annual training hours for licensing purposes, assist in coordinating family events with the Director and CCAMPIS coordinator, provide communications and follow‑up on current projects, and order office and childcare supplies while maintaining office equipment.
- Background:
Entry‑Level. A high school diploma or GED is required, along with a general understanding of accounting practices and procedures. - Experience:
Proven ability to quickly learn new software applications, coupled with office experience and a working knowledge of general office procedures. - Skills:
Proficiency in Microsoft Word, Excel, and Google Drive, strong organizational ability with particular attention to detail, dependability, professionalism in appearance, and the physical capability to occasionally lift up to 50 pounds. - Bonus:
An Associate’s Degree or Bachelor’s Degree is preferred, along with supervisory experience and a willingness to collaborate as a team member.
