The Exhibitor Showsite Coordinator assists customers who exhibit at trade shows, conventions and special events produced by Global Experience Specialists (GES). Responsibilities include all daily coordinator tasks such as pre‑show preparations, show‑site duties, and show close.

This role reports directly to the Manager of Exhibitor Success.

The successful candidate will have a proven record of coordinating projects and tasks, providing excellent customer service, and strong communication skills.

Responsibilities
  • Actively participate in the pre‑show planning process.
  • Participate in the timely completion of show‑site tasks including setting up and breaking down the Service Center.
  • Create, maintain, process, and complete all orders/labor, billing, and collection requirements.
  • Conduct invoice reviews with customers as needed.
  • Assist on projects as assigned.
Qualifications
  • Strong organizational, communication, and problem‑solving skills.
  • Ability to navigate technology such as cell phone and computer.
  • Customer service mindset with a positive attitude.
  • Flexibility to work outside of the department for the greater good.
  • Ability to work in a team environment or individually as needed.
  • Ability to collaborate with outside departments.
  • Flexible schedule; overtime required and ability to travel 50‑75% of the time.
  • 1+ year(s) in customer service or similar roles.
Work Environment
  • May require overtime during busy periods.
  • Work performed in an office setting – sitting at a computer and filing.
  • Ability to work nights and weekends is required.
  • Flexible work schedule; hours, shifts or days worked will vary due to show schedules.
  • Travel is required to other GES facilities throughout the US as needed.
  • 15% of work may involve repetitive motion (e.g., constant keying, using fingers, or grasping objects); 60% of work performed in somewhat crowded or noisy areas where mild discomfort due to temperature, dust or other conditions may occur.
  • 10% of work involves occasional exertion of physical effort standing, climbing, stooping, kneeling, crouching, reaching, pushing, pulling, lifting.
