Exhibitor Showsite Coordinator

The Exhibitor Showsite Coordinator is responsible for assisting customers who exhibit at trade shows, conventions and special events produced by Global Experience Specialists (GES). The responsibilities include daily coordinator tasks such as pre-show preparations, show site management, and show close.

This role will report directly to the Manager of Exhibitor Success.

The successful candidate will have a proven record of coordinating projects and tasks, providing excellent customer service, and strong communication skills.

Responsibilities
  • Actively participate in the pre-show planning process.
  • Timely complete show site tasks including setting up and breaking down the Service Center.
  • Create, maintain, process, and complete all orders, labor, billing, and collection requirements.
  • Conduct invoice reviews with customers as needed.
  • Assist on projects as assigned.
  • Work performed in an office setting – sitting at a computer and filing.
  • Ability to work nights, weekends, and varying hours as required by show schedules.
  • Flexible schedule; overtime required and travel up to 50‑75% of the time.
  • Travel to other GES facilities throughout the US as needed.
  • Perform work that may involve repetitive motion (approx. 15% of the time) and work in crowded or noisy areas (approx. 60%).
  • Occasional physical exertion such as standing, climbing, stooping, kneeling, crouching, reaching, pushing, pulling, lifting (approx. 10%).
Qualifications
  • Strong organizational, communication, and problem‑solving skills.
  • Proficiency with technology such as cell phones and computers.
  • Customer service mindset with a positive attitude.
  • Flexibility to work outside the department for the greater good.
  • Ability to work in a team environment or individually as needed.
  • Collaborative with outside departments.
  • 1+ year in customer service or similar roles.
