ResponsibilitiesAs our Office Administrator, you'll help ensure our office runs smoothly while providing exceptional service to clients.
Responsibilities include:
- Welcome clients and visitors with professionalism and warmth.
- Answer and direct incoming phone calls.
- Schedule appointments and manage office calendars.
- Maintain a clean, organized, and welcoming office environment.
- Prepare conference rooms for client meetings.
- Coordinate mail, deliveries, and office supplies.
- Scan, organize, and upload client documents.
- Assist with client onboarding and administrative paperwork.
- Manage CRM tasks and office workflows.
- Support advisors with administrative requests.
- Coordinate office vendors and daily operations.
- Assist with additional projects as the firm continues to grow.
Preferred qualifications include:
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Professional appearance and demeanor.
- Positive attitude with a willingness to learn.
- Ability to work independently while collaborating with a team.
- Experience in an administrative, customer service, hospitality, or office support role is preferred but not required.
- Experience with Microsoft Office and Google Workspace is a plus.
