Overview
US Oncology Network is looking for a Patient Services Representative to join our team at Texas Oncology
. This full-time position will support the Cedar Park location with occasional coverage for the Leander and Marble Falls locations as needed. It is a Monday‑Friday 8:30am–5pm role with no weekends, calls, or major holidays. The role can be a Level 1, 2, or Sr based on candidate experience.
Under general supervision, the representative schedules patient appointments and tests efficiently and promptly. The role includes external scheduling and/or surgical scheduling responsibilities, and supports the US Oncology Compliance Program, including the Code of Ethics and Business Standards.
Responsibilities- Efficiently schedules new patients, patient referrals, and returning patients in the computer system in accordance with physician and office guidelines.
- Cancels or reschedules appointments according to physician schedule changes and notifies appropriate clinic personnel.
- Meets with patients to schedule all future appointments, procedures, or other exams needed.
- Utilizes the dedicated program to triage and respond to all incoming scheduling calls timely and accurately.
- Accurately schedules appointments while multi‑tasking in a fast‑paced medical office.
- Ensures all authorizations and referrals are obtained and attached to appointments correctly to avoid denials or delays in payment.
- Maintains the primary office scheduling template containing all physician meetings, satellite schedule, rounding and call coverage.
- Arranges for patients to have financial counseling as needed.
- Demonstrates an understanding of patient confidentiality to protect the patient and clinic/practice.
- Follows policies and procedures to contribute to the efficiency of the front office and covers for other front office functions as requested.
- Prepares correspondence, memos, forms, and other typing as requested by supervisor.
- May schedule outpatient appointments, testing, surgeries and hospital admissions upon request; obtains necessary pre‑certification as required and communicates scheduling details to patients.
- Has a basic understanding of medical terminology for tests and surgical procedures, including coding and ability to look up codes specific to diagnosis, surgery, and scheduling procedures.
Level 1
- High School Diploma or equivalent required.
- 0–3 years of medical business office experience.
Level 2 (in addition to Level 1 requirements)
- Minimum 3–5 years of medical business office experience.
Level Sr (in addition to Levels 1 and 2 requirements)
- Minimum five years of medical business office experience.
Employee is regularly required to sit and use hands to finger, handle, or feel. Occasionally required to stand, walk, and reach with hands and arms. Must occasionally lift or move up to 30 lbs. Requires vision and hearing corrected to normal ranges.
