Purpose:
Serves as an initial point of contact in a clinic setting by performing check‑in/check‑out functions and booking patient appointments. Carries out all duties while maintaining compliance and confidentiality and promoting the mission and philosophy of the organization.
- Book appointments utilizing the computer system. When booking, confirm and/or modify demographic information and notify patient of account balance.
- Greet patients and check them in on the computer system.
- Verify insurance eligibility using online resources, Medifax, etc.
- Ensure appropriate paperwork is complete and up‑to‑date and scan insurance card, if applicable.
- Collect payments from patients, post amounts, and balance the drawer for end‑of‑day deposit.
- Print face sheets, receipts, and other necessary documents.
- Notify appropriate personnel of emergencies, messages, patient arrivals, etc.
- Confirm in advance patient appointments.
- Run reschedule reports and book rescheduled appointments as necessary, ensuring reports are accurate and current.
- Verify Worker’s Compensation claims, ensure documentation is complete, and perform follow‑up.
- Assist patients with setting up payment plans.
- Issue receipts for payment.
- Book follow‑up appointments.
- Adhere to all company policies, including but not limited to OSHA, HIPAA, compliance, and Code of Conduct.
- Maintain regular and dependable attendance.
- Follow the core competencies set forth by the Company, available on CMSweb.
- Work holiday shift(s) as required by Company policy.
- May perform patient registration functions by collecting and entering demographic and insurance information into the computer system to set up patient accounts.
- Create master deposit as directed.
- Handle sorting and distribution of Rightfax documents.
- Process onsite release of information requests.
- Priority on‑site sorting, scanning, numbering loose papers.
- Run wait‑list report and distribute as directed.
- Perform other duties as assigned.
Education and Experience
- Required: High school diploma or GED. Experience using a PC in a Windows environment.
- Preferred: Experience working in a medical setting.
- Knowledge of medical insurance.
- Excellent customer service skills.
- Excellent computer, 10‑key, and keyboarding skills, including familiarity with Windows.
- Excellent interpersonal and problem‑solving skills.
- Ability to work in a team environment.
- Ability to manage competing priorities.
- Ability to engage others, listen, and adapt responses to meet others’ needs.
- Ability to align own actions with those of other team members committed to common goals.
- Excellent verbal and written communication skills.
- Ability to perform job duties in a professional manner at all times.

Monday‑Friday, 8:00 am – 5:00 pm.
