Responsibilities

  • Provide secretarial services to the principal and staff.
  • Establish and maintain files for the principal and school office.
  • Maintain the online student database and Infinite Campus files.
  • Interact positively on a daily basis with parents, volunteers, visitors, students, and staff.
  • Supervise students in the office area.
  • Prepare necessary district and state reports.
  • Provide backup assistance for the health clinic.
  • Schedule busing for field trips.
  • Oversee time clock procedures for new and existing staff, and manage approvals.
  • Maintain the building calendar in Google.
  • Maintain the building schedule for other groups using the facility.
  • Keep deadlines and deliverable timelines.
  • Handle paperwork involved in bookkeeping, payroll, fee collection, purchasing, substitute teacher management, data processing, transportation, student records, and Free/Reduced lunch processing.
  • Prepare and edit the school newsletter.
  • Order supplies for all staff.
  • Perform additional duties as assigned or developed.
Qualifications
  • Proficient in the operation of computers, including word processing, spreadsheet, database applications, and e‑mail.
  • Knowledge of or willingness to learn the BSO ordering system and Infinite Campus.
  • Excellent oral and written communication skills.
  • Strong ability to prioritize, organize, and initiate responsibilities independently.
  • Successful experience in a responsible secretarial position handling large numbers of students, parents, and staff.
  • Ability to work without supervision and manage cross‑training (e.g., health secretary responsibilities).
  • Familiarity with office equipment such as fax, scanner, and copier.
  • Polite, tactful, and efficient telephone skills.
  • Demonstrated typing proficiency and other essential office skills.
  • Capable of working under pressure with frequent interruptions.
  • Willingness to assume responsibility and work with staff, students, and the public.
  • Professional representation of the school, maintaining confidentiality, effective communication, and appropriate dress.
  • Willingness to participate in ongoing training.
Classification

Secretarial/Clerical Group F – Work Group J – 8 hours per day, 12 months.

Physical Demands

Frequent standing, walking, use of hands and fingers to handle objects, tools, or controls; squatting, stooping, kneeling, reaching above the head and forward 0–24 inches and occasionally up to 36 inches; bending or twisting at the neck and trunk more than average; lifting or moving up to 50 pounds within 0–12 feet and occasionally up to 20 feet; occasional push/pull of items such as tables and carts.

Specific vision abilities required: close vision, color vision, and ability to adjust focus while supervising students and working with computers, written materials, reports, assessment data, etc.

Working Environment

The work environment is moderately quiet. Hours may extend beyond a typical 8:00 a.m.–4:00 p.m. shift. Work occurs in various areas including desks, floors, and during indoor and outdoor activities. Employees may work indoors and outdoors (e.g., supervising playground and transportation activities, field trips).
