Compliance Coordinator
To advance the college's mission, vision, principles, values, and strategic initiatives through continuous improvement decisions and support of compliance processes critical to student success in health programs. Under moderate to limited supervision, the Compliance Coordinator supports the Health Programs by tracking, verifying, and maintaining student and faculty compliance records to meet clinical, regulatory, and institutional requirements. This role interacts directly with students, external agencies, and faculty to ensure students are cleared for clinical participation.
The coordinator will also support office operations, assist with student communication, and serve on the Background Check Committee. The typical work schedule will be Monday through Friday from 8 am to 5 pm. Advocate for Continual Improvement – Empowering each other to identify opportunities for excellence. Monitor and manage student and faculty compliance documentation including immunizations, TB testing, CPR certification, physical exams, background checks, and drug screenings. Serve as a liaison between Kirkwood and third-party compliance management vendors (e.g., Castle Branch). Maintain and update compliance databases and spreadsheets accurately and in a timely manner. Communicate directly with students and faculty regarding compliance deadlines, missing documentation, and status updates.
Collaborate with program directors and clinical faculty to ensure compliance status is clearly communicated and updated. Participate as an active member of the Background Check Committee to evaluate clinical eligibility. Generate compliance reports and audit data for department leadership, accreditation purposes, and clinical partners. Provide front desk coverage: greet students and visitors, answer phones, respond to email inquiries, and redirect as needed.
Support departmental mailings, meeting coordination, file organization, and office supply inventory. Assist with department clerical functions as needed. Provide support for department events and onboarding processes. Perform other related work duties as assigned. Represent the college in a positive, professional, and service-oriented manner. Maintain strict confidentiality of student and faculty records and sensitive data (FERPA and HIPAA compliance). Display initiative and follow-through on assignments while managing multiple priorities.
Demonstrate adaptability and collaboration within a cross-functional team. Communicate clearly, both verbally and in writing, with internal and external stakeholders. Establish and maintain positive working relationships with students, faculty, staff, and partners. Welcome and value individuals of all backgrounds and contribute to an inclusive environment.
Position involves working in an office setting. Occasional (10–33%) standing, pushing, pulling, and grasping. Frequent (34–66%) reaching and viewing a computer and other close visual work. Constant (67–100%) sitting, walking, repetitive motion, talking, and hearing.
High school diploma or equivalent plus two years of related administrative experience; or Associate's degree in a related field. Proficiency with Microsoft Office Suite (especially Excel and Outlook) and ability to learn compliance tracking software. Experience managing records or databases in a professional setting. Associate's degree or higher in healthcare, business, education, or a related field. Experience working with compliance tracking platforms (e.g., Castle Branch).
