The Receptionist is the first point of contact for the Cedar Rapids office and plays an important role in creating a professional, welcoming, and organized front-office environment. This individual greets visitors, answers and routes incoming calls, manages mail and deliveries, supports conference room preparation, and assists with general administrative tasks as needed.

Over time, the role offers opportunities to take on additional administrative, operations, and office coordination responsibilities as the individual becomes familiar with the firm, its portfolio, and internal processes. The ideal candidate is dependable, polished, highly organized, and comfortable interacting with tenants, investors, vendors, brokers, and team members in a fast-paced professional office setting.

Midwest Equity Investors, LLC is a Cedar Rapids, Iowa-based commercial real estate private equity firm that acquires and manages NNN retail, medtail, medical outpatient, and industrial assets across secondary markets in the Midwest and Southeast. The firm self-manages its portfolio through the Arthur James Asset Management brand and operates the Midwest Diversified fund series.

Key Responsibilities
  • Serve as the first point of contact for the office: greet visitors, tenants, brokers, and investors professionally and warmly.
  • Receive, sort, and distribute incoming mail, packages, and deliveries; prepare outgoing mail and shipments (Fed Ex/UPS/USPS).
  • Maintain a professional and organized reception area and conference rooms; prepare rooms for meetings.
  • Manage conference room scheduling and coordinate catering for meetings and events, including investor meetings and educational seminars.
  • Provide general administrative support to other team members as workload requires (copying, scanning, filing, CRM data entry).
  • Manage calendars for executives, scheduling meetings and calls, while proactively resolving conflicts.
  • Monitor day-to-day office operations, ensuring a clean, organized, and well-stocked workplace—including office supply inventory, and manage kitchen/break room stocking.
  • Coordinate IT and telecom needs with outside providers, including onboarding equipment for new hires.
  • Support HR-adjacent functions such as new hire onboarding logistics and workspace setup, posting jobs and scheduling interviews.
  • Demonstrate initiative and willingness to learn additional administrative, office operations, and real estate-related processes as opportunities for growth arise.
Qualifications
  • Associate’s degree, business/administrative coursework, or equivalent professional office experience preferred.
  • Friendly, dependable, and service-oriented, with a strong desire to support a professional and welcoming office environment.
  • Strong organizational skills with attention to detail and accuracy in daily administrative tasks. Ability to multitask, prioritize competing requests, follow through on tasks, and stay organized in a fast-paced front-office setting.
  • Excellent verbal communication skills, professional phone etiquette, and a polished in-person presence.
  • Professionalism, discretion, and good judgment when handling visitors, calls, mail, deliveries, and confidential business information.
  • Strong customer-service orientation and ability to interact professionally with investors, tenants, vendors, brokers, and visitors.
  • Proactive and helpful, with the ability to anticipate basic office needs and keep the office running smoothly.
  • Interest in growing into a broader administrative, office coordination, or operations support role over time.
  • Experience coordinating with office vendors and delivery providers is a plus.
