- Schedule meetings and conference rooms, arrange domestic and international travel, prepare expense reports, and maintain department calendars
- Resolve calendar conflicts, monitor email communications, highlight urgent matters, prepare activity reports, and assist with leadership engagement opportunities
- Coordinate internal and customer meetings, including logistics, catering, setup/takedown, and site clearance
- Collaborate with other administrative assistants to share knowledge and schedule activities across the business
- Proofread presentation content and perform minor document revisions
- Establish, maintain, and revise departmental and control files
- Create and administer directorate Teams and SharePoint sites
- Receive and prioritize telephone calls, business visitors, and incoming mail; route inquiries appropriately
- Plan morale events and track and maintain directorate budgets
- Prepare materials for organization-level, All Hands, and Skip Level meetings
- Interface with personnel from multiple departments and external contacts
- Maintain, track, order, and organize office supplies
- Assist with hiring and onboarding tasks
- Perform other duties and special projects assigned by leadership
- Provide complex administrative support to Operations leaders in a confidential, highly responsive manner
- Typically requires HS Diploma or AA/AS degree (or other 2-year post high school training) with a minimum of 4 years of relevant experience
- Previous experience in an administrative and/or customer service role
- Time management skills and ability to effectively prioritize work
- Experience with O365 suite
- High-level problem-solving skills and attention to detail
- Ability to work independently as a self-starter
- Ability to work collaboratively as part of a team
- Experience with Concur travel and expense system
- U.S. citizenship is required
- Must work in Cedar Rapids, IA; role is not eligible for relocation
