Clerical, Office Administrator/ Coordinator
Performs a variety of routine and complex clerical, secretarial, public interaction and administrative duties in support of the City's Engineering, Public Works, Planning, and Water Recycling Departments. Work includes maintaining official records; providing comprehensive administrative services to the Director of Public Works and Engineering (direct report) and the City Planner (indirect report); and assisting in the administration of departmental standard operating policies and procedures.
EssentialDuties
- Processes permit applications for utility work within the public right-of-way.
- Provides routine clerical, secretarial, and administrative support for the Engineering, Planning, and Water Recycling Departments.
- Manages departmental files, records, and document retention for Engineering and Planning.
- Prepares, assembles, and distributes agendas and minutes for the Plan Commission, Site & Architectural Review Board (SARB), and the Public Works & Sewerage Commission, including attending monthly meetings and ensuring accurate documentation. Periodic evening hours.
- Serves as backup to the Building Inspection Secretary.
- Responds to public inquiries regarding City services, codes, land-use matters, and general departmental information.
- Provides customer service at the front counter and by phone, ensuring timely and accurate information to residents, contractors, and other stakeholders.
- Performs other duties as assigned and may assist other City Hall departments as time permits.
- Graduation from high school or GED equivalent.
- Working knowledge of office practices and procedures.
- Strong computer skills, including proficiency with Microsoft Word and Excel.
- Ability to learn and navigate City street locations and departmental workflows.
- Ability to communicate effectively both verbally and in writing.
- Ability to remain composed and provide excellent customer service in occasional stressful situations.
- Prior municipal experience and familiarity with online applications such as Geographic Information Systems (GIS) are preferred but not required.
