Overview

We are looking for a versatile legal receptionist to handle the primary functions of the reception area. In this role, the primary responsibilities are to answer and forward calls, welcome visitors, and handle all incoming and outgoing mail. This includes receiving, sorting, scanning, and distributing incoming daily mail, handling all outgoing mailings per firm guidelines, handling bulk incoming and outgoing mail, including bulk certified mailings.

Additional primary responsibilities include reserving conference rooms, creating supply orders, and scanning/saving documents into the firm's document management system per firm guidelines. You may also provide general administrative support to the Firm Administrator and Legal Assistants. This full-time, on-site, temporary position with an opportunity for hire, if the position is determined to be a good fit for all parties involved.

To ensure success in this role, you should exhibit excellent communication skills, organizational skills, and competency in general office administration.

Duties & Responsibilities
  • Welcoming clients and visitors upon arrival at reception.
  • Answering, screening, and forwarding phone calls in a professional manner.
  • Distributing mail, faxes, and deliveries to reach the intended recipients.
  • Ordering and replenishing office supplies.
  • Assisting with copying, scanning, faxing, and emailing.
  • Booking and preparing conference room facilities, and arranging refreshments or lunch orders, if required.
  • Assisting with saving and versioning client documents to document management system.
  • Assisting with annual election mailing and ballot counting.
Skills and Qualifications
  • Associate degree in Business Administration or similar field, but not required; willing to train the right candidate.
  • Proficiency with Microsoft Office (3 years or more).
  • Proficiency with Adobe software (2 years or more).
  • Formal experience in office administration, secretarial, or related training or environments.
  • Prior experience as a legal receptionist will be advantageous, but is not required.
  • Excellent written and verbal communication skills.
  • Experience working with Microsoft Office, printers, copiers, scanners, faxes, and appointment scheduling and call forwarding systems.
  • Exceptional interpersonal and communication skills.
