Office Administrator/ Coordinator
- Schedule service calls, installations, and maintenance appointments for plumbing/ HVAC technicians
- Dispatch technicians efficiently based on location, job urgency, and technician skill set
- Confirm appointments with customers via phone, text, or email
- Handle rescheduling, cancellations, and last-minute changes with minimal disruption
- Maintain and update daily job board and technician calendars
- Work closely with field staff and supervisors to ensure on-time service delivery
- Prepare and issue accurate invoices based on job completion reports, service orders, and time logs
- Verify materials used, labor hours, and service rates before billing
- Process payments (cash, checks, credit cards) and issue receipts
- Follow up on outstanding invoices and assist in collections as needed
- Maintain organized billing records and assist with month-end reporting
- Assist with entering data into accounting software
Qualifications:
- High school diploma or GED required; associate degree in business or accounting a plus
- 1–2 years of experience in an administrative, billing, or dispatching role (preferably in a trade service business)
- Familiarity with plumbing services or home repair industries a plus
- Proficiency with office software (MS Office, Google Workspace) and scheduling/billing systems
- Strong organizational and multitasking abilities
- Excellent communication skills and a customer-first attitude
Preferred
Skills:
- Experience with field service management software
- Basic understanding of plumbing service terminology and job types
- Knowledge of local service areas and geography for efficient dispatching
Working Conditions:
- Office-based position with standard business hours (some flexibility may be required)
- Fast-paced environment with frequent phone and email communication
