We are seeking a professional, dependable, and organized Office Manager to join our wealth management firm. This role is responsible for overseeing front office operations, providing administrative support, and ensuring a welcoming and efficient environment for clients and staff.
The ideal candidate is detail-oriented, personable, and capable of managing multiple tasks in a professional office setting. Strong communication and customer service skills are essential.
Responsibilities- Greet clients and visitors in a professional and welcoming manner
- Answer and direct incoming phone calls promptly and courteously
- Handle incoming and outgoing mail, packages, and deliveries
- Maintain a clean, organized, and professional office environment
- Assist with filing, scanning, data entry, and document management
- Support advisors and staff with general administrative tasks
- Order and maintain office supplies and inventory
- Ensure client information is handled confidentially and accurately
- Coordinate basic office operations and day-to-day administrative needs
- Assist the Compliance Officer with special projects and administrative support as needed
- Perform other office management and administrative duties as assigned
- High school diploma or equivalent required
- Previous office administration, receptionist, or customer service experience preferred
- Strong verbal and written communication skills
- Excellent organizational and multitasking abilities
- Proficiency with Microsoft Office (Outlook, Word, Excel) and standard office technology
- Professional appearance and demeanor
- Ability to maintain confidentiality and exercise discretion
