Job Advert Summary
Spoor & Fisher is looking for a Trade Mark Administrator within the TM:
Formalities Foreign department. The successful candidate will be based in the Centurion office, reporting to the Senior Manager. The ideal candidate should have a keen eye for detail and should be able to attend to general Trade Mark administrative duties with a focus on both Foreign and Local work.
Knowledge, Skills and Personal Attributes:
- Excellent command of the English language.
- Proficiency in MS Outlook.
- Internal applicants should have a good working knowledge of Inprotech and DMS.
- A good working knowledge of MSWord and Excel.
- Good typing skills.
- Keen attention to detail.
- Ability to work independently, with minimal supervision.
- A sense of urgency and deadline orientation.
- Team player.
- Taking initiative and being proactive.
The successful candidate will be required to attend to the preparation of quotes, both local and foreign, and provide these to the various departments and PHMs, the filing of foreign applications, reporting on the statuses of trade marks at the various stages of prosecution, general correspondence with clients and agents.
Duties and Responsibilities:
- Respond to requests for tariffs, specific quotes and basic filing information.
- Checking standing instructions.
- Liaising with various departments and PHMs to get advice on complex and non-standard matters.
- Assist with updating and maintaining our tariffs.
- Drafting and sending correspondence to Associates regarding their charges.
- Complete and maintain administration for the department.
- Participate in projects which arise in respect of pricing and/or tariff matters, as well as quote analysis.
- Attending to queries on a daily basis.
- Monitoring the shared mailboxes.
- Receiving, checking, preparing and filing new foreign trade mark applications.
- Preparing supporting documents for the filing of applications.
- Attending to translation and legalisation of documents.
- Receiving and drafting reports on:
- filing particulars
- acceptance details
- advertisement details
- registration details
- Invoicing all of the above.
- Updating and checking Inprotech at filing, acceptance, advertisement and registration.
- Attend to the updating of withdrawal/abandonment of foreign trade mark applications.
- Closing off files after registration.
- Ensuring that the next renewal dates are correct on Inprotech before closing off files.
- Attending to miscellaneous foreign queries.
- Liaising directly with clients and PHM’s daily.
- Attending to the diary and following up with agents.
