NACOSA is seeking a Fleet and Maintenance Officer to provide operational and administrative support to the Fleet and Finance departments. The role is responsible for implementing day-to-day activities related to fleet management, facilities maintenance, and finance administration, ensuring compliance with organisational policies and efficient operations. The Fleet and Maintenance Officer will travel between NACOSA offices and implementing partner offices as required to support fleet and facilities operations.

Fleet

Operations
  • Coordinate day-to-day fleet activities, including vehicle allocation, tracking, servicing, and repairs
  • Maintain accurate and up-to-date fleet records, including logbooks and vehicle documentation
  • Liaise with service providers, suppliers, and insurance companies.
  • Support accident reporting, vehicle inspections, and compliance with regulatory requirements
Facilities, Assets and Maintenance
  • Coordinate routine and ad hoc maintenance of NACOSA offices and facilities
  • Support facilities inspections and follow up on identified maintenance issues
  • Maintain an accurate and up-to-date inventory of organisational assets
  • Regularly update asset records to reflect additions, disposals, transfers, and write-offs
  • Collaborate closely with Finance, Procurement, and IT to streamline asset management processes
Finance and Administrative Support
  • Provide administrative support to the Finance Department related to fleet, facilities, and asset costs
  • Assist with processing invoices, purchase orders, and supporting documentation
  • Track fleet and maintenance expenditure and maintain accurate financial records
Coordination and Support
  • Support implementing partners with fleet-related queries and processes
  • Travel to implementing partner offices as required to support operations
  • Ensure compliance with NACOSA policies, donor requirements, and internal controls
