The part‑time receptionist is responsible for a variety of administrative support tasks, including answering phones, receiving visitors, preparing meeting rooms, monitoring the shared calendar, sorting and distributing mail, and making travel arrangements.
Essential Functions- Responsible for greeting and assisting citizens, visitors, and guests with a positive demeanor; determines the purpose of each person’s visit and directs or escorts him or her to the appropriate location.
- Knowledgeable about each department, as to be able to answer simple questions of those who walk in the door.
- Answers, screens, and directs phone calls to staff; takes messages and schedules appointments.
- Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
- Orders office supplies as needed and maintains supply inventory.
- Performs routine clerical work, including, but not limited to, attending meetings, preparing reports and correspondence, copying and filing/retrieving documents, sending and receiving faxes and e‑mails, entering and retrieving computer data, answering the telephone, and processing daily mail, etc.
- Prepares meeting/conference rooms for meetings and special events; assists in making regular and special meeting arrangements as needed.
- Attends trainings, meetings, seminars, and/or workshops to enhance job knowledge and skills.
- Uses a variety of computer software programs such as Microsoft Word, Excel, Outlook.
- Ability to navigate the City of Chamblee website to direct citizens to resources.
- Other duties as assigned.

Qualifications- Bilingual in Spanish and English is strongly preferred.
- High school diploma or equivalent required;
Associate degree in business studies or related field preferred. - Ability to keep material and information confidential.

- Able to deal with people beyond giving and receiving instructions. Must be adaptable to performing under stress when confronted with persons acting under stress.
- Excellent computer skills and experience with MS Office suite of software. Ability to easily learn new software programs as required.
- Ability to exercise good judgment by making sound and well‑informed decisions; perceives the impact and implications of decisions; makes effective and timely decisions, even when data are limited, or solutions produce unpleasant consequences.
- Ability to arrive at work on time and consistently.
