The Planning Coordinator provides customer service, supports the Zoning & Code Enforcement divisions, and coordinates code enforcement case management. This position is responsible for meeting legal public notice requirements, updating the Planning and Development Department’s agenda and calendar, responding to customer inquiries, creating code complaint cases, following-up on code complaint cases, and providing general assistance to zoning and land development applicants.

ESSENTIAL

FUNCTIONS
  • Serves as the first point of contact for planning, zoning, and code enforcement related customer service matters, both either in-person, by e-mail, and over the phone
  • Provides research on ordinances and case-related investigation and provides back-up duty for the department customer service desk
  • Inputs all Planning & Zoning applications into the City’s permitting software and monitors all active land development cases; assigns plan reviews, and uploads required documentation
  • Reviews basic applications for completeness (i.e., LDPs, Variances, Plats, etc.).
  • Completes Planning Coordinator Reviews for certain permits including Land Disturbance Permits, Plats, Zoning Related Applications;
    Sign Permits;
    Fence Permits and Residential Addition/Renovation Building permits
  • Manages the closeout process for assigned Zoning & Plan Management permits.
  • Scanning all required documents into the City's Permit Management and Document Management systems.
  • Managing Pre-Application meetings for Planning and Zoning related applications including pre-review of all submittals, note-taking, and follow-up correspondence with applicants.
  • Manages and updates all Planning and Zoning related applications and forms, as needed
  • Manages and updates all Code Enforcement related applications and forms, as needed
  • Serves as Records Clerk for all Planning and Zoning and related applications and Code Enforcement Matters
  • Completes Business License reviews for compliance with Zoning Regulations
  • Conducting research on planning and zoning-related matters
  • Assists with managing completion of long-range planning projects
  • Maintains inventory and compliance of all Bonds related to permits and administers systems for bond procedures.
  • Prepares and manages public hearing signs for council meetings.
  • Inputs code enforcement cases into the City’s permitting software and monitors all active cases, schedules follow-ups for code enforcement notices of violation
  • Establishes and documents efficient standard operating procedures to support proactive code enforcement practices
  • Research property records and City codes for planners and code enforcement officers; may conduct business analysis or special research on regulations or planning matters as time permits
  • Coordinates and provides administrative support for the City’s Apartment/Commercial Property Maintenance Sweeps Program including, scheduling, communication with property owners, creating reports, etc.
  • Manages, tracks and documents Multifamily inspections program (compliance certificate).
  • Prepares files for code enforcement citations for presentation in Municipal Court.
  • Communicates with other city departments and outside agencies regarding zoning and other ordinance issues
  • Prepares weekly and monthly reports
  • Attends other meetings, as needed
  • Attend training sessions, meetings, seminars, workshops, etc. to enhance job knowledge and skills.
ADDITIONAL JOB FUNCTIONS
  • Uses a variety of computer software programs such as Microsoft Word, Excel, Outlook, and iWorq.
  • Other duties as assigned.
Qualifications
  • Associate degree required;
    Bachelor’s degree preferred
  • Local government experience is preferred
  • Knowledge of Code Enforcement processes and best practices
  • Knowledge of City Unified Development Ordinances and Building Code processes and best practices
  • Knowledge of Planning and zoning principles
  • Business math, including the calculation of areas (square footage), fees, and penalties
  • Knowledge of Georgia Open Records Act
