Administrative Assistant II
The Champaign-Urbana Public Health District is seeking a full-time Administrative Assistant II to support the Teen & Adult Services division. The selected candidate will be responsible for professional staff support, the daily operation and coordination of the office, and providing planning support to ensure that resources are available when needed. Excellent customer service skills, communication skills, and the ability to prioritize and multi-task are required.
The candidate must have strong computer skills.
- Perform clerical work that involves processing time-sensitive applications and supporting documents.
- Clerical key responsibilities:
- Perform data entry from various complex data collection/reporting systems, including billing processes.
- Effectively utilize standard computer software programs, including Word, PowerPoint, and Excel to prepare reports, communications, etc.
- Make travel arrangements when necessary for divisional staff.
- Act as a purchasing agent for the division; research and make recommendations for the selection of office equipment and forms and order replacements when needed.
- Maintain division's brochure/flier inventory in a systematic manner to retrieve documents efficiently.
- Proficient in Teen and Adult services intake process and serve as back-up as needed.
- Manage varied types of complex time-sensitive documents ensuring accuracy and completeness.
- Enter, retrieve, update and complete computerized and manual data of various records, reports, consents and/or forms.
- Reconcile program services and participant files utilizing established record keeping systems, procedures, and codes.
- Organize and prepare program supply packs (e.g., condom packs, harm reduction or Narcan supplies) for outreach.
- Establish and maintain effective working relations with employees at all levels within the district, representatives of other agencies, government officials and the general public.
- Public Health Emergency Response Responsibilities:
All District employees must be able to respond to public health emergencies when needed and appropriate. During an emergency response, employee may be assigned to a role in either operations, logistics, or administration by the Incident Commander and/or Section Chief in addition to regular duties. - Performs other duties as required.
- High school diploma or GED equivalent
- Three (3) years of progressive secretarial, accounting, bookkeeping, office supervision or coordination or related work experience.
- Recognized post high school training in business, accounting, or secretarial may be substituted for the required experience on a year-to-year basis to a maximum of two (2) years.
- Persons who speak Spanish are highly encouraged to apply.

The expected hourly pay is $20.24. Full hourly pay for Class 4 Administrative Assistant II is $20.24 - $27.32 for a 40-hour week.
