This Role will be located in the University of Illinois Research Park in Champaign, IL.

Business Administration Team

The Business Administration team supports the delivery of service excellence across a wide range of streams. The team provides essential support to various departments including scheduling meetings, booking travel, managing accounts and ad hoc projects.

The team are focused on creating an environment that meets the expectations of colleagues, supporting them in achieving their business objectives.

Responsibilities
  • Gatekeeping diaries and keeping abreast of stakeholders’ meeting schedules
  • Scheduling meetings, taking care of logistics and supporting with meeting preparation
  • Supporting the preparation of presentation materials
  • Screening calls, facilitating conference calls and managing ad hoc correspondence with external parties
  • Engaging with internal members of staff across all departments, at all times exercising a professional and approachable manner
  • Coordination of business travel, including booking transport and accommodation, and preparing itineraries
  • Supporting with the planning, logistics and execution of firmwide events
  • Conducting ad hoc projects, research, administration, and record-keeping
  • Working with members of the wider Business Administration and Executive Assistant teams to provide support to the firm as required.
What makes a great candidate
  • Minimum academic requirements of a Bachelor’s degree with 3.3/4.0 GPA from a top ranking university, as well as evidence of a strong academic history prior
  • Minimum 2 years of experience in a similar role
  • Very strong administrative and IT skills, in particular strong Microsoft PowerPoint, Excel, Outlook, and Word skills
  • Experience of handling highly sensitive information with tact, diplomacy, and discretion
  • Exceptional verbal and written communication skills
  • Demonstrates a solution-oriented approach and a proactive attitude with the ability to maintain momentum towards objectives and deadlines
  • Demonstrates close attention to detail
  • Ability to deal with competing priorities, prioritise and demonstrate a disciplined thought process and an ability to anticipate needs
  • Good team player, strong work ethic, confident and energetic
  • The ability to cooperate effectively with the wider Business Administration team
