Operations Specialist
Role: Remote
Type: Full-time (40 hours/week)
Location: Open to candidates based in Philippines, South Africa, and Latin America.

Role OverviewThe Operations Specialist I will support day-to-day operational and administrative execution for multiple youth sports organizations. This role works closely with Account Managers and internal teams to ensure accurate data handling, timely communications, and smooth operational processes.
This is a pure operations role
. While experience as an Executive Assistant is a plus, the primary focus is on operations, data management, and client support
.
Operations & Data Management
Review and reconcile information across multiple databases to ensure accuracy and consistency.
Export data from internal systems into Google Sheets and format it for readability.
Build and maintain spreadsheets using formulas, filters, pivot tables, and lookups (e.g., VLOOKUP).
Upload and manage data within internal platforms and client-facing software.
Support registration, rostering, and operational workflows for youth sports programs.
Draft and structure client communications (emails, announcements, responses) based on provided guidance.
Manage inboxes and respond to inbound inquiries on behalf of clients.
Execute mass communications following internal instructions and quality standards.
Escalate issues when needed while maintaining a high level of service.
Learn and adapt quickly to new software tools and internal systems.
Support the implementation and ongoing use of sports management and operational platforms.
Work extensively with Google Workspace (Sheets, Docs, Gmail).
Work closely with a small operations team within a fully remote organization.
Participate in daily collaboration with teammates and weekly company-wide meetings.
Maintain accountability and reliability in a remote environment.
Strong proficiency in Google Sheets / Excel
, including formulas, pivot tables, and data comparisons.Strong attention to detail and ability to identify data inconsistencies.
Excellent written communication skills in English
.Ability to work independently and meet deadlines consistently.
Comfortable working fully remote and following assigned work schedules.
Reliable computer and internet connection.
Familiarity with sports management software (e.g., Team Snap, Sports Engine, League Apps).
Basic experience with Canva or social media tools.
Bilingual (Spanish / English).
Prior experience in operations, customer support, or administrative roles.
Full-time (40 hours per week)
Schedule aligned with assigned Account Manager(s) across U.S. time zones
Philippines-based candidates must be willing to work overnight shifts
LATAM and South Africa candidates benefit from closer time-zone alignment
Adherence to agreed working hours is required
Monthly compensation:
USD $ 900 – $1,100Fully remote, contract-based role
Company-provided computer or tech support after six months
Late March – Early April
