Facilities Receptionist
Manage and facilitate the facilities' incoming telephone calls and transfer calls effectively. Project and maintain a professional image to callers, as well as visitors, staff, and patients entering the building. Process intake paperwork & inquiries utilizing established policies. Type and copy various facility materials.
Essential Functions:
- Answer all incoming telephone calls in a pleasant, professional manner.
- Transfer calls efficiently and effectively.
- Communicate with visitors, staff, vendors and patients in a professional courteous manner at all times. Answer questions related to the facility in a helpful manner.
- Record all messages accurately and neatly.
- Assist inquiries/patients with appropriate admission paperwork. Notify assessment of the completion of paperwork.
- Ensure all visitors follow the proper sign in procedure.
- Receive patient's belongings-log and tag items ensuring they get to the proper unit.
- Monitor the lobby frequently so patients/visitors are taken care of promptly.
- Maintain work area in a neat, clean and orderly manner.
- Work with staffing coordinator to ensure vehicle log is maintained, vehicles are signed out and in appropriately by all staff.
- Coordinate sign in/sign out of IPASS and Pavilion Gas credit cards.
- Coordinate mailing and monitor postage stock, mail correspondence. Add postage to meter as needed.
- Attend department meetings and training sessions.
- Run the lunchbox system for employee meals.
- Run and distribute Midas reports as needed.
- Ensure all assessment calls are answered promptly, this includes following the process for weekend.
Qualifications:
Education:
High School diploma or equivalent required.
Experience:
One year experience as receptionist/administrative assistant or position relevant to customer service preferred. Other knowledge/skills:
Excellent written and verbal communication skills. Use of office equipment, i.e., computer, copy machine, fax, telephone. Ability to work with customers in a fast-paced environment with multiple tasks required.
