The Commercial Operations Coordinator is responsible for providing administrative, operational, and project coordination support across the Commercial Organization, including Field Sales, Strategic Accounts, Inside Sales, Sales Operations, Marketing and Commercial Leadership.

This role serves as a key partner in ensuring the effective execution of commercial initiatives, onboarding, meetings, events, travel, fleet administration, communications, and organizational support activities. The successful candidate will be highly organized, proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.

The Commercial Operations Coordinator plays a critical role in supporting the day-to-day operations of the commercial organization while ensuring consistency, communication, and execution of strategic priorities.

ESSENTIAL DUTIES and RESPONSIBILITIES:
  • Provide administrative and coordination support to Commercial Leadership.
  • Coordinate calendars, meetings, and scheduling across multiple departments and stakeholders.
  • Prepare meeting agendas, presentations, meeting materials, and follow-up action items.
  • Assist with commercial communications, announcements, and organizational updates.
  • Support leadership team projects and special initiatives.
Meeting and Event Coordination
  • Coordinate logistics for internal commercial meetings, quarterly business reviews, sales meetings, and training events.
  • Support planning and execution of National Sales Meetings, regional and dealer meetings, customer events, trade shows, and off-site meetings.
  • Manage meeting registrations, hotel arrangements, catering, transportation, meeting materials, and attendee communications.
  • Track meeting deliverables, action items, and follow-up activities.
New Hire Onboarding and Employee Support
  • Coordinate onboarding activities for new commercial employees, including field sales, strategic accounts, inside sales, and commercial support personnel.
  • Partner with the National Training Manager, Human Resources, Information Technology, Training, and Sales Operations to ensure a seamless onboarding experience.
  • Coordinate equipment requests, business cards, welcome materials, organizational introductions, and training schedules.
  • Maintain onboarding checklists and support employee transitions and organizational changes.
Fleet, Travel, and Vendor Administration
  • Serve as the primary coordinator for commercial fleet administration activities.
  • Coordinate vehicle assignments, transfers, replacements, and fleet documentation.
  • Assist employees with fleet-related questions and vendor interactions.
  • Coordinate travel arrangements and logistics for commercial meetings and events.
  • Maintain relationships with vendors supporting commercial operations and activities.
Administrative and Financial Support
  • Process purchase orders, invoices, expense requests, and vendor payments in accordance with company policies.
  • Support budget tracking and administrative record keeping for commercial activities.
  • Coordinate approvals and documentation for meetings, events, and commercial expenditures.
  • Maintain departmental records, contact directories, organizational charts, and distribution lists.
Commercial Operations and Project Coordination
  • Support execution of commercial initiatives and cross-functional projects.
  • Track project milestones, deadlines, and action items.
MINIMUM QUALIFICATIONS:
  • Minimum of 3 years of administrative, operations, project coordination, or sales support experience.
  • Strong organizational, planning, and time management skills.
  • Excellent written and verbal communication skills.
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Excel, PowerPoint, Teams, and Word.
  • Ability to manage multiple priorities while maintaining a high level of accuracy and attention to detail.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Experience with AI productivity tools, workflow automation, and project management platforms.
WORKING ENVIRONMENT:

The incumbent typically works in an office environment as a primary work location.
