Job Summary

The Administrative Specialist Senior works under the direction of the Program Manager and in collaboration with Program Coordinators to provide comprehensive administrative, front desk and office support to the Tutoring/Learning Center at Chandler-Gilbert Community College. Our ideal candidate will deliver excellent customer service to diverse populations, including both internal and external customers; take initiative, prioritize tasks, and manage projects to completion in a time-efficient manner to meet department needs;

communicate effectively, problem solve, and utilize multiple technological systems to support the department.

Essential Functions

30% - Administrative & Operational Support

Performs comprehensive administrative and office support functions to ensure efficient daily operations of the Tutoring/Learning Center, working closely with the Program Manager and Program Coordinators.

Coordinates facility usage, space readiness, and event logistics.

Monitors, verifies, corrects, and enters part-time employee time records as directed by the Program Manager.

Arranges maintenance and repair of equipment and facilities as needed.

Ensures compliance with established policies and procedures, seeking guidance from the Program Manager when appropriate.

25% - Customer Service & Communication

Serves as a liaison to students, community members, and campus departments, providing front-line communication and high-quality customer service.

Responds to inquiries in person, by phone, and virtually; resolves concerns or refers individuals to appropriate resources.

Acts as the department point of contact for part-time tutors in the absence of the Program Manager and/or Program Coordinators.

Prepares and distributes program materials, including flyers and presentations.

Represents the department at campus outreach and orientation events.
