Secretary/Records Clerk
Responsible for carrying out secretarial and clerical duties of the school or district level.
Qualifications- High School Diploma or beyond.
- Scored Silver or higher on the ACT Workkeys National Career Readiness Certification OR completed 48 hours of college coursework OR have earned an Associate's Degree or beyond.
Person designated by the school principal or superintendent.
SupervisesStaff members designated by school principal, superintendent or designee.
Job GoalTo assure the smooth and efficient operation of the school office and manage the student's records efficiently and expeditiously.
Performance Responsibilities- Performs usual office routines.
- Maintains student records as required.
- Processes all changes and adjustments in student schedules as directed by the principal or his/her designee.
- Receives and routes all incoming calls.
- Maintains a log of visitors to the school.
- Operates word processors, computers, calculators, copiers, facsimile machines, etc.
- Verifies totals on report forms, requisitions, etc., and proofreads work.
- Reads incoming material and sorts it according to file system in use.
- Ensures school registration of new and returning students.
- Ensures the records management procedures of the school/district meet all legal requirements.
- Establishes records retention and shredding schedule.
- Maintains a notary stamp to notarize documents as required.
- Establishes safeguards to protect records from damage or loss.
- Remains up-to-date on changing procedures and technology related to professional record keeping.
- Performs such other tasks and assumes such other responsibilities as may from time to time be assigned by his/her supervisor.
Salary and work year to be established by the Board.
EvaluationPerformance of this job will be evaluated in accordance with provisions of the Board's policy on Evaluation of Support Services Personnel.
