Rate Range: $16-$18/Hr

Job Description:

  • Key responsibilities will be managing HQ Activities, Executive Coffee Club sessions, provide calendar management assistance, order supplies, handling general administrative tasks
  • As an Administrative Assistant II at Insight you ll provide administrative support to the Manager of Executive Services and the Manager of Executive Support. If you are comfortable being exposed to confidential and sensitive information and have a high sense of urgency, read on.
Responsibilities:
  • Perform office and administrative support, including calendar management, to Executive Management and Leadership team.
  • Prepare and deliver files in confidence to appropriate Executive while maintaining confidentiality and discretion with sensitive information.
  • Greet scheduled visitors and direct to appropriate area or person.
  • Manage conference room reservations
  • Maintain clear and concise record of expense reports, submitted monthly.
  • Assist with HQ activity committee that orchestrates several annual teammate events both in-office and off-site.
  • Assist with HQ Coffee Club events
  • Oversee executive office supply quantities, purchasing, and back-office operations as necessary.
  • Receive, review and direct incoming and outgoing mail.
  • Coordinate lunch for executive meetings.
  • Create travel itineraries for executive travel as needed.
  • Perform general office duties and miscellaneous tasks as assigned.
Requirements:
  • College degree preferred; or 2+ years of related experience and/ or equivalent combination of education and experience.
  • Extreme attention to detail and experience in a large, fast-pace and dynamic environment.
  • Flexibility and willingness to adapt to multiple changing priorities and other duties as they arise.
  • Excellent organizational and multi-tasking skills along with strong Microsoft Office skills with a focus on Outlook, Word and Excel.
  • Maintain a high degree of confidentiality.
