Position Overview

We are seeking an Executive Administrative Assistant to support two senior APTM leaders. This full‑time, on‑site role is based in Chandler, AZ.

Key Responsibilities
  • Manage multiple executive calendars, identify and resolve conflicts, and prioritize critical meetings.
  • Coordinate complex meetings with executive‑level administrative professionals across multiple time zones.
  • Prepare for meetings, record minutes, and track deadlines, milestones, and key events.
  • Co‑ordinate extensive domestic and international travel in accordance with company travel policies.
  • Support customer visits, departmental events, webcasts, conferences, and face‑to‑face meetings across teams.
  • Provide support for urgent or ad‑hoc operational meetings, including emergency response events.
  • Manage departmental logistics such as organizational charts, distribution lists, SharePoint sites, collaboration tools, and internal communication platforms.
  • Work with cross‑functional partners to support business objectives while maintaining confidentiality and professional judgment.
  • Interpret and triage information requests, determining appropriate action and escalation.
  • Handle multiple tasks simultaneously, adjusting priorities as business needs evolve.
  • Maintain diplomacy, tact, and sound judgment when interacting with employees, leaders, suppliers, and external stakeholders.
  • Improve administrative processes through strong organizational practices.
  • Provide backup coverage for other administrative staff, support onboarding, mentoring, and integration of new team members.
  • Track and audit organizational workstations and PCs, maintaining accurate records for compliance.
  • Coordinate onboarding logistics, including space allocation and equipment ordering.
  • Collaborate with staff to provide data that enables budget planning and expense control.
  • Disburse funds and monetary awards for recognition programs, ensuring accuracy and compliance with policies.

Qualifications
  • High school diploma or GED with 7+ years of related administrative experience.
  • 5+ years supporting multiple leaders in an administrative capacity.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Experience with enterprise tools such as Workday, Concur, SharePoint, and collaboration platforms.
  • Demonstrated ability to manage complex workloads in a fast‑paced environment.
  • Strong independence, decision‑making capability, and initiative.
  • Learning mindset and proactive recommendation of solutions to improve team efficiency.
