Administrative Assistant
The Administrative Assistant provides critical support to Medivant's leadership and operations teams by managing communications, coordinating schedules, maintaining records, and ensuring smooth day-to-day administrative operations. This role requires strong organizational skills, attention to detail, and the ability to handle confidential information with professionalism.
Key responsibilities include:
- Providing administrative and clerical support to department managers and executives.
- Managing calendars, scheduling meetings, and coordinating travel arrangements.
- Preparing correspondence, reports, and internal documentation.
- Maintaining organized electronic and paper filing systems.
- Assisting with purchasing, vendor communications, and invoice processing.
- Supporting onboarding and HR administrative tasks as needed.
- Handling incoming calls, emails, and mail distribution.
- Tracking and ordering office supplies and coordinating facility maintenance requests.
- Assisting in preparing presentations, reports, and meeting minutes.
- Upholding confidentiality and data integrity at all times.
Qualifications include:
- Associate degree in Business Administration or related field, or equivalent work experience.
- 2+ years of experience in administrative, office management, or executive support roles.
- Strong proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Excellent written and verbal communication skills.
- Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
- Strong organizational skills and attention to detail.
Preferred:
- Experience working in a manufacturing, pharmaceutical, or healthcare environment.
- Familiarity with ERP or document control systems (e.g., Net Suite, SAP).
- Notary certification or HR administrative experience a plus.
Compensation & benefits include:
- Salary range: $55,000 – $65,000 annually, based on experience.
