Job Description & How to Apply Below

We are looking for an exceptional Senior Executive Administrator to partner with our VP/Director — someone who operates well beyond traditional EA responsibilities. You will serve as a force multiplier, combining top-tier organizational skills with a proactive drive to learn, automate, and solve. This role is designed to grow into a Chief of Staff position for the right candidate.

If you are naturally curious, embrace emerging tools, communicate with confidence at all levels, and want to shape strategy as much as execute it — this role was built for you.

Core Responsibilities Executive Support
  • Manage complex, multi-timezone calendars and proactively protect executive focus time
  • Prepare briefings, pre‑reads, and follow‑up summaries for all key meetings
  • Draft, edit, and send communications on behalf of the executive
  • Coordinate travel, logistics, and agendas with precision and contingency planning
  • Handle confidential information with absolute discretion
AI & Automation
  • Research, evaluate, and implement AI tools, workflow automations, and productivity systems
  • Continuously identify manual or repetitive tasks that can be automated
  • Build and iterate on internal processes using tools such as Zapier, Make, Notion, or similar
  • Stay current on emerging technology and bring forward actionable recommendations
  • Create documentation and training materials to embed new systems across the team
Stakeholder & Communications Management
  • Act as a trusted liaison between the executive and internal/external stakeholders
  • Manage relationships with key contacts, partners, and leadership across the organization
  • Triage inbound communications, flag priorities, and draft responses
  • Represent the executive with professionalism and appropriate authority
  • Prepare materials for board updates, executive reviews, and all‑hands presentations
Strategic Planning & Research
  • Conduct in‑depth research on markets, competitors, partners, and internal performance
  • Synthesize information into clear, decision‑ready briefs and recommendations

Track key initiatives and OKRs, flagging risks and progress to the executive
  • Support quarterly and annual planning cycles with data gathering and coordination
  • Own special projects end‑to‑end with minimal direction
Chief of Staff Growth Path

This role is structured to evolve. Within 12–18 months, a successful candidate will transition into a Chief of Staff capacity, taking on:

  • Ownership of executive team rhythms (weekly syncs, QBRs, offsites)
  • Cross‑functional project leadership and accountability tracking
  • Strategic initiative ownership, from scoping through execution
  • Acting as an operational extension of the executive in meetings and decisions
  • Building and managing a small operations function as the team grows
Qualifications Required
  • 5+ years of experience supporting a senior executive in a fast‑paced environment
  • Demonstrated experience using AI tools and building automations (not just familiarity — evidence of shipped solutions)
  • Outstanding written and verbal communication; comfort engaging VP and C‑level audiences
  • Exceptional judgment, prioritization, and ability to act with limited information
  • Strong research skills with ability to distill complexity into clear executive outputs
  • Proactive and self‑directed; you find problems before they are assigned to you
Preferred
  • Experience in a Chief of Staff, operations, or strategy role
  • Familiarity with project management frameworks (Agile, OKRs, etc.)
  • Background in consulting, high‑growth startup, or similar high‑output environments
  • Proficiency with tools such as Notion, Asana, Slack, Hub Spot, or equivalent platforms
What We Offer
  • A direct line to executive decision‑making from day one
  • Meaningful autonomy to build, experiment, and own outcomes
  • A clear, supported path to a Chief of Staff title
  • Access to the latest tools and budget to implement what you recommend
  • Competitive compensation commensurate with experience
