Purpose of Role
The QAQC Coordinator is responsible for managing the formatting integrity, scheduling, and timely flow of quality documentation across active projects. This role serves as the central point of coordination for inspection and test records within Procore and ensures proper transfer of documentation into the client’s Automated Commissioning Management System (ACMS).
The QAQC Coordinator supports field execution and commissioning success by maintaining real-time visibility of inspection status, managing testing and inspection schedules, driving timely QC report submissions, and aligning documentation workflows with project commissioning milestones. This position plays a critical role in protecting GTI’s reputation for organized, traceable, and professionally presented quality documentation.
Scope & Decision RightsOwns:
Project-level QAQC document control workflows. Organization, tracking, naming conventions, and formatting consistency of inspection and test records within Procore. Coordination and maintenance of testing and inspection schedules. Proper and timely transfer of approved documentation into client ACMS platforms. QAQC reporting dashboards and documentation status trackers.
Supports:
Field QAQC Superintendents, Project Superintendents, Project Engineers, third-party NETA testing contractors, Commissioning Agents, and Project Management teams by coordinating inspection schedules and documentation requirements to align with commissioning milestones.
Recommends/Prepares:
Daily and weekly documentation status reports, testing and inspection look-ahead schedules, submission trend tracking (formatting and submission-related), commissioning readiness metrics, and workflow improvement recommendations.
Escalates:
Inspection scheduling conflicts, documentation delays, incomplete inspection submissions, formatting deficiencies, missing field reports, or risks to commissioning milestones to the QAQC Manager, Project Manager, Project Superintendent, QAQC Superintendent, and Director of Preconstruction as appropriate.
Essential Duties and Standards- Develop, maintain, and update project testing and inspection schedules in coordination with field leadership and commissioning teams.
- Track inspection and testing milestones against the master project schedule and identify risks to commissioning dates.
- Manage all QAQC inspection and test forms within Procore, ensuring proper naming conventions, tagging, categorization, and formatting consistency.
- Coordinate daily transfer of approved inspection reports and test documentation from Procore into the client’s ACMS platform.
- Maintain real-time tracking logs of inspection status and closeout submittals.
- Attend daily project coordination meetings and commissioning meetings to report testing schedule status and documentation readiness.
- Coordinate remotely with field leadership to drive timely completion of inspections, testing activities, and QC report submissions.
- Interface with third-party NETA testing contractors to align testing schedules and ensure reports are submitted in accordance with GTI and client formatting standards.
- Review inspection and test reports for formatting accuracy, completeness of required fields, proper revision labeling, signatures, and clerical consistency prior to ACMS upload (technical accuracy remains under QAQC Superintendent oversight).
- Develop and maintain standardized workflows for QC documentation transfer and closeout submittal packaging.
- Identify bottlenecks in testing, inspection, or documentation workflows and recommend process improvements to reduce commissioning delays.
- Maintain organized digital archives of project QAQC records in accordance with GTI’s Quality Management System.
