St. Hubert Catholic Community is seeking a full-time Administrative Assistant II to play a key role in the life and mission of our parish. This is much more than a traditional administrative position. You'll work closely with our Pastor, parish leadership, staff, volunteers, and ministry teams to help create exceptional experiences for parishioners while supporting important parish operations, sacramental programs, liturgical ministries, and compliance initiatives.

- Provide direct administrative support to the Pastor and parish leadership team
- Help coordinate parish initiatives and ministry activities
- Serve as a key resource for staff, volunteers, and parishioners
- Support Parish Pastoral Council activities and meetings
- Provide backup support to parish reception operations when needed
- Coordinate Virtus Safe Environment requirements for employees and volunteers
- Maintain Archdiocesan compliance records and reporting
- Track Catholic Mutual safety training requirements
- Assist with annual PACE/PRISM compliance activities
- Coordinate liturgical ministry schedules
- Manage scheduling for lectors, Eucharistic ministers, altar servers, sacristans, and other liturgical volunteers
- Support Eucharistic Adoration scheduling and volunteer coordination
- Order liturgical supplies and assist with special liturgical events
- Help coordinate funeral ministry logistics
- Serve as the primary contact for couples preparing for marriage ert
- Coordinate wedding logistics, scheduling, and records
- Manage sacramental records and certificates
- Support sacramental preparation programs and family communications
- Enjoy building relationships with volunteers and parishioners
- Are highly organized and systems-oriented
- Take initiative and anticipate needs before they arise
- Thrive in a mission-driven environment
- Have experience coordinating schedules, events, or ministry programs
- Full-time, approximately 40 hours per week
- Primarily weekday schedule
- Occasional evening or weekend hours may be required to support parish events and ministry needs
