Job DescriptionThe Administrative Assistant supports and assists general office activities and projects with administrative tasks. Provides customer service support. Under moderate supervision, work may involve contact with homeowners and board members.
This is a part time position working 30 hours a week: M-F, 10am-3pm or 10am-4pm. Position will sit at the CMC Corporate office in Chantilly, VA.
Responsibilities- Manage phones, emails, and correspondence.
- Review, enter and update vendor contracts.
- Follow-up with vendors, schedule vendors onsite for repair work, respond to vendor inquiries.
- Research and resolve issues in person, by phone, and email.
- Respond to homeowners, new owners, and owner control.
- Research and respond to questions regarding taxes and audits.
- Create and send out HOA violation notices to homeowners.
- Enter, update, and close out Work Order tickets in the system.
- Schedule board meetings, assemble board packets, and ensure the meeting room space is ready for the meeting.
- Receive, sort, and distribute mail and packages.
- Work with attorneys regarding liens, compliance, litigation, etc.
- Submit invoices for payment.
- Other duties as assigned.
- High School Diploma or GED Required.
- 1+ year of administrative, clerical, office assistant experience is required.
- Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level.
- Professional customer service and communication skills (written and spoken).
- Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.) at a proficient level.
- Ability to self-motivate, be proactive, detail oriented and successfully function as part of a team.
- Ability to maintain confidentiality and discretion in the performance of all duties and responsibilities.
- Must be able to prioritize, manage time, and meet deadlines.
