Job Duties
The primary purpose of this position is to provide customer service and administrative support. The primary duties of the Administrative Support Specialist position will coordinate clinical onboarding, working with credentialing and the hospital units to gain access for non-employee affiliates, maintain the department website and social media accounts, support the administrative needs of assigned faculty, which includes typing correspondence and generating reports as needed to promote the individual's relevant clinical, research and educational goals and objectives.
Other duties: managing multiple incoming phone lines to the department, triaging calls, greeting walk-ins and referring/assisting visitors, managing the primary conference room calendar, department listservs, photocopying checks and invoices, maintaining physical and digital directory boards, coordinating office events, managing office supply inventory, coordinating mail services for all faculty, staff and students, posting important notices to multiple work locations across campus.
Primary operator and trainer for the administrative fax and copier, responsible for scheduling maintenance, cross‑trained to fulfill responsibilities of other administrative staff in absence.

Minimum Years of Experience/
Education:
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Required Skills:
- Entry level accounting or bookkeeping experience, records management experience, excellent oral and written communication skills, and effective problem‑solving capabilities.

Preferred Years Experience, Skills, Training, Education- Coordinate clinical onboarding processes for non‑employee affiliates by collaborating with credentialing teams and hospital units to ensure timely system access and compliance requirements are met.
- Maintain and update departmental website content and social media platforms to ensure accurate, current, and engaging communication of clinical, research, and educational initiatives.
- Provide comprehensive administrative support to assigned faculty, including drafting and editing correspondence, preparing reports, compiling documentation, and supporting activities that advance clinical, research, and academic objectives.
- Manage multiple incoming phone lines, triage inquiries appropriately, and ensure efficient resolution or referral of calls.
Anticipated Hiring Range: $26.88 hourly
