The Registrar & Data Manager plays a vital role in supporting the operations of the school through accurate and efficient management of student records and digital systems. This position maintains essential databases and academic records for students, families, and faculty and staff while ensuring the integrity and security of all data. The Registrar & Database Manager also serves as a key resource for administrative and technical support, contributing to the overall organization and flow of communication across the school community.
This role requires a detail-oriented, highly organized individual who can manage multiple systems while supporting the human-centered, values-based culture of a Waldorf school.
Job Responsibilities DATA MANAGEMENT- Manage the school’s main database (Ravenna), family communication system (Parent Square), email/document system (Google Workspace), and EHR (School Doc). Perform annual academic year rollovers in these systems if applicable.
- Maintain and update data for anyone associated with the school, including contact information, emergency contacts, and information for new or former students and faculty.
- Process student and employee onboarding and withdrawals across the various databases.
- Monitor and enable the transfer of information between the databases.
- Set up courses for grades 1 - 12 in Ravenna. Process and release teacher reports and student grades, working in conjunction with teachers, section coordinators, and the college counselor.
- Provide database information for mailings and/or statistical purposes in support of development, enrollment, summer camp, yearbook team, etc.
- Establish and maintain processes for the maintenance, filing, and storage of all student records – physical and electronic.
- Process student records and official transcript requests.
- Standardized test results - file and upload to Ravenna
- Collect and maintain immunization records and submit yearly reports to the state of NC.
- Update and maintain the official academic year calendar, including key events, breaks, and administrative deadlines.
- Support updates to Parent Handbooks and other administrative documents.
- Provide first-line technical support to faculty, staff, and parents for school systems such as Ravenna, Parent Square, and Google Workspace.
- Serve as a backup at the Front Desk as needed.
- Coordinate back-to-school information provided to parents in August
- Attend the weekly meetings of the Administrative Team
- Attend other all-school events, such as Autumn Fair
- Perform other duties as assigned by the Director of Administration

Technical
Skills:
- Proficiency with databases and cloud-based systems (Ravenna, Google Suite, Parent Square, or equivalent platforms)
- Familiarity with data exports, formatting, and reporting
- Basic desktop publishing or formatting tools (e.g., Google Docs, MS Word)
Education and Experience:
- Bachelor’s degree preferred; relevant experience may be considered in lieu of a degree
- Minimum 2 years of experience in database or registrar-related work, preferably in a school setting
- Experience with student information systems and parent communication platforms
- Familiarity with Waldorf education or willingness to learn and work within a Waldorf-informed school culture
Other:
- Able to lift up to 25 lbs
- Able to sit and use a computer for extended periods of time
- Have mobility required to navigate a large campus with uneven footpaths and hilly terrain
- Have visual and hearing capabilities that allow for consistent communication with parents, visitors, faculty/staff in multiple formats (written, verbal, virtual, in-person, etc.)
- Able to speak English fluently; fluency in a second language (especially Spanish) preferred
- Able to work on-site; position is eligible for ad hoc remote/hybrid work
- Able to work evenings and weekends as needed
- Able to successfully pass and maintain all background checks
- Salary between $35,000-$40,000 based on experience
