Responsibilities:
- Provide executive administrative support to the EVP, Deputy General Counsel, and other key personnel within the Legal Department.
- Administer company-wide contract review and approval processes, including initial review/triage of requests, training personnel, quality control/verification of completed workflows, and other system-related tasks as needed.
- Coordinate departmental administrative activities with the Executive Assistant & Office Administrator, Legal Operations.
- Organize and maintain legal files for the North Carolina office location.
- Assist attorneys with maintaining contract templates.
- Support project/research assignments as requested.
- Assist with periodic financial certification processes and disclosure control processes.
- Manage calendars; schedule meetings, book rooms, and send invitations.
- Manage and organize Board Committee processes/logistics, including document creation/editing and distribution via Diligent Boards.
- Liaise with outside organizations/vendors/consultants to gather or report program-related information.
- Support business operations (e.g., meeting support, office supplies inventory, purchasing).
- Coordinate travel arrangements and expense reimbursement for attorneys.
- Compile information for reports and presentations.
- Generate clear, concise business correspondence.
- High school diploma or GED.
- 4+ years in a professional environment as an administrative assistant, executive assistant, contracts administrator and/or paralegal.
- Proficient in Microsoft Word, Outlook, Excel, PowerPoint.
- Highly organized, self-motivated, detail oriented, proactive; strong work ethic.
- Excellent professional oral and written communication.
- Strong attention to detail; ability to multitask in a fast-paced environment.
- Exceptional time management and deadline execution.
- Excellent organizational skills; ability to work independently and with others.
- Associate degree.
- 6+ years of relevant experience.
- Notary Public license.
- Strong project management skills.
