Job Description Summary The Administrative Coordinator I provides direct administrative and scheduling support for outpatient neurology clinics. This role will be primarily assigned to the Neurology Movement Disorders Division. This role is clinic-facing and Epic-dependent, with primary responsibility for patient scheduling accuracy, clinic flow coordination, and timely communication that supports patient access and provider efficiency. The position operates independently within established departmental workflows and MUSC policies, escalating issues that impact patient care, clinic operations, or compliance.

- Minimum Training and Experience
: A high school diploma and four years relevant experience in business management, public administration or administrative services; or a bachelor's degree and two years experience in business management, public administration or administrative services. - Preferred Training and Experience
:
Must be self directed with excellent communication and interpersonal skills. Must be detail oriented with excellent organizational skills. Must be able to manage multiple tasks and work collaboratively with other professionals. Proficiency in Microsoft Office (Excel, Word, PowerPoint & Access).
- Clinic Coordination - 35% of Total Time (Essential):
Coordinate clinic flow for all departmental outpatient and telemedicine appointments. Review providers’ schedules, ensure adequate schedule density, schedule testing per referrals and progress notes, verify medical records uploaded in advance, obtain prior authorizations for out-of-state patients. Maximize utilization of clinic appointments, monitor schedules, work waitlists and requests, upload records into Epic/Solarity, monitor Right Fax, respond to patient messages and resolve issues. - All other administrative functions to support ambulatory clinic activities (doctors, mid-level providers, fellows, residents). Verify leave approvals, reschedule cancelled clinics, analyze provider templates, implement improvements, train new staff, and provide backup coverage.
- Schedule urgent follow-up appointments, new/add-on clinics, last-minute changes due to closures. Overbook special requests, analyze templates, complete forms (FMLA, LTD, STD, DME), coordinate with clinical providers to ensure timely patient messages and issue resolution. All other scheduling activities for in-person and virtual visits. Provide concierge services for out-of-state patients. Attend weekly provider meetings and send correspondence for no-shows/cancellations.
- Scheduling & Message Coordination - 35% of Total Time (Essential):
Manage and maintain provider clinic schedules in Epic (new, return, in-person, virtual). Monitor waitlists, bump lists, and queues to optimize utilization. Coordinate rescheduling due to leave, call coverage, or cancellations. Block/unblock templates to remain compliant. Schedule last-minute visits and emergent care. Monitor scheduling requests via Epic inboxes, emails, and Teams messages. Track next available appointments and ensure alignment with provider templates and access standards.
Review provider schedules for density and address openings from waitlists. Answer and triage high-volume calls/messages professionally; triage and forward to providers; collaborate with nursing units and other departments to optimize patient care. - Administrative Coordination - 30% of Total Time (Essential):
Arrange travel for physicians, including conference registrations, presentation materials, travel bookings, itineraries, receipts prep for reimbursement. Maintain Outlook calendars, coordinate meetings, and take minutes as needed. Submit leave requests, clinic cancellations, and PATH forms in Qgenda after approvals.…
