Job Responsibilities
The administrative coordinator position provides high-level administrative and operational support to the Vice President for Academic Affairs and the Academic Affairs leadership team. This role requires exceptional organizational skills, sound judgment, discretion, and the ability to manage complex administrative functions in a fast-paced, confidential, and collaborative academic environment. The successful candidate will serve as a key point of coordination across departments and divisions, supporting executive operations, special projects, purchasing, event coordination, and customer service for students, faculty, staff, and the community.
Key Responsibilities- Manage calendars, travel, meetings, and confidential correspondence for the Vice President for Academic Affairs.
- Provide administrative support to assistant vice presidents, deans, and the Academic Affairs administrative team.
- Serve as a point of contact for students, parents, and community inquiries, including academic appeals and complaints.
- Coordinate division-wide meetings, special projects, academic competitions, and special population initiatives.
- Support purchasing and procurement activities in compliance with college policies.
- Provide administrative support to library staff such as contract preparation.
- Coordinate major academic events and maintain the annual Academic Calendar.
- Access and manage student records and data with accuracy and confidentiality.
This position requires a high school diploma and relevant experience in business management, public administration, and administrative services, or a bachelor's degree may be substituted for the required work experience.

- Strong organizational and detail-oriented skills with the ability to manage multiple priorities.
- Ability to work effectively and collaboratively with administrative staff, academic deans, department heads, coordinators, and faculty across multiple campuses.
- Self-directed with demonstrated initiative, leadership, cooperation, and problem-solving skills.
- Ability to interpret and apply policies and procedures with accuracy and consistency.
- Ability to train and support other employees.
- Strong customer service, interpersonal, and communication skills.
- Ability to function effectively in an environment characterized by continual changes in technology.
