Job Description Summary

The Grants Administrator II will report to the Department Administrator and work with the second Grants Administrator II to support the department’s administrative, academic, and research missions. This position will work closely with students, staff, and faculty and provide high-level grants administration, project coordination, and support to the Department of Neuroscience. The role will provide backup to the other Grants Administrator II in the department.

Strong organizational skills, team focus, and attention to detail are essential.

Job Duties Pre-Award (30%)
  • Maintains current knowledge of regulations (federal, state, private) to assist faculty, staff and students with application compliance.
  • Evaluates potential fiscal issues such as cost sharing, F&A rates and possible request waivers.
  • Coordinates with external consultants, subawardees, or outside departments to prepare and compile all needed documents and coordinates grant proposals to funding agencies to ensure compliance with policies and regulations.
  • Prepares complex budgets and assists PI in completing grant application while following proposal guidelines. Creates and routes application to all departments/personnel for their approval prior to submission. Reviews proposals routed to the Department of Neuroscience for approval or recommends changes needed. Maintains all documentation and record keeping in regard to applications for department.
Post-Award and Reporting (30%)
  • Serves as the subject matter expert for award requirements as well as MUSC grant policies and procedures.
  • Prepares the needed documentation for progress reports, extension requests, carryover requests, close outs, cost transfers, re-budget requests, incoming grant transfers from other institutions, and required sponsor financial reporting. Ensures expenditures and budgets are consistent with state and federal guidelines and MUSC policies and procedures.
  • Prepares annualized effort for PI Other Support documents, biosketches, and annualized effort reports for RPPRs.
Grant Fiscal Reporting and Annual Budget (15%)
  • Monitors FDM worktags and account setup to ensure information and reporting integrity.
  • Develops and distributes monthly financial and effort reports to PIs (approximately 20 reports/month).
  • Closely monitors all PI restricted and unrestricted funds. Provides recommendations to PIs regarding projected overruns, carryover, available balances, effort, and financial forecasting.
  • Completes spending transfers and effort adjustments as needed at time of discovery or closeout. Participates and assists with the completion of annual budgeting at the individual and department level. Brings any budget variances to the attention of the Department Administrator.
Personnel Resource Management (10%)
  • Including, but not limited to, funding or job changes in Our Day.
  • Completes Payroll Costing Allocations (PCA) and Payroll Accounting Adjustments (PAA) in a timely manner.
  • Reconciles all payroll expenditures.
  • Tracks changes in effort and works closely with team to make sure all personnel actions are completed in a timely manner.
  • Monitors and tracks student stipend and tuition expenses.
Program Center Grant Fiscal and Report Management (10%)
  • This includes 7 projects/accounts, across 3 departments. Provides monthly financial reporting to program director and project leads.
  • Advises program director of financial projections and concerns. Prepares and submits documentation for program carryover requests, progress reports, and re-budget requests. Submits applications to NIH for PI changes, new projects and renewals.
  • Monitors Program worktags and account setup to ensure information and reporting integrity. Monitors all Program effort and coordinates with other departments if needed.
Special Projects and Other Duties (5%)
  • Maintains, modifies, and develops filing system to track data and s.
  • Participates in research administration work groups, as requested, as well as any campus-wide training designed for individuals in a research administration role.
