We are seeking a full-time Executive Assistant to work directly with IPT's Founder and President. The person in this role makes everything else possible. You'll own the calendar end-to-end and know it better than he does. You'll triage the inbox every day, flag what needs him, and handle what doesn't. You'll sit on client calls, capture what was decided, and carry it to done.
You'll spot conflicts before they happen, find answers, and create solutions. If you're someone who thrives on organization, anticipates needs before they arise, and takes pride in keeping things running seamlessly, this role is for you. Your primary responsibilities will include:
- Own the calendar. Book it, protect it, and rebuild it when things shift, guarding prep time, delivery blocks, and family commitments
- Coordinate travel and client site visits
- Triage the inbox daily and draft routine replies
- Schedule and confirm meetings with clients, candidates, and prospects
- Catch anything time-sensitive and raise it right away
- Get agendas out ahead of time
- Join calls, capture action items, send recaps same day, and book the next meeting before people leave
- Format and route proposals, agreements, and offer letters for signature, then track them through execution
- Keep files organized and CRM records current
- Handle invoicing, expenses, subscriptions, and vendors
- Manage personal appointments, reservations, and planning
- Take care of gifts, orders, returns, and errands
