Job Description Summary
Directs the clinical education processes for assigned program(s). This includes but is not limited to developing, writing, and presenting training material for students, serving as the liaison between students and site managers, educators and community partners nationwide, collecting and maintaining all affiliation agreement, site and educator paperwork. Partners with clinical education faculty to coordinate, prepare, create, and evaluate the clinical education component of assigned program(s).
Ensures the program follows the established timeline for clinical year education.
- Create a structure for clinical education‑related support to ensure compliance with programmatic accreditation and university requirements; ensure clinical education faculty/representatives receive appropriate documentation for each student’s rotation assignment; manage internal and external databases for applicable clinical sites to obtain availability for clinical rotations.
- Provide training, technical support and act as liaison to ensure assigned students can navigate any database required by their clinical site; maintain data and structure in organized fashion through systematic audits.
- Manage data requests specific to clinical placement and rotation outcomes; work closely with Division Director and clinical education faculty to ensure coordination is addressed professionally and on time.
- Generate data collection and training manuals for training sessions and other publications; manage collection of site‑specific student compliance documentation and submit on behalf of the division, using outside computer systems as needed.
- Disseminate all surveys, forms and evaluations to students and clinical instructors; facilitate information sessions with students to ensure effective preparation and execution of the clinical year.
- Initiate communication with affected students to ensure instructions, timelines and resources are provided in preparation for their upcoming clinical rotations; monitor student compliance with university and clinical site prerequisites for credentialing.
- Audit and prepare student credentialing packets; disseminate credentialing documentation timely; maintain accurate contact information and ensure professional correspondence.
- Coordinate use of external databases required by specific clinical sites for student clearance; analyze reports to ensure accurate records; draft communication and facilitate training with students on database use.
- Coordinate communication strategies and establish protocols for collecting and maintaining documentation for program accreditation; audit database to verify accreditation requirements; proactively communicate report data to faculty.
- Advise incoming and didactic students regarding documentation requirements; facilitate training sessions; coordinate student compliance and ensure accurate data entry; analyze compliance reports; coordinate with faculty to schedule pre‑clinical year events.
- Coordinate initial and follow‑up communication with clinical sites; ensure availability data is entered accurately; collaborate with faculty for rotation assignments and generate statistical reports.
- Conduct group and individual information/training sessions; provide desktop support; customize reports for data analysis; act as point of contact for student rotation site selection; monitor preference selections.
- Coordinate dissemination and completion of mandatory evaluations of clinical rotation; initiate contact to ensure timelines and procedures are followed; review and verify submissions; communicate report data to stakeholders.
- Perform related duties and assignments as requested; serve as reference for clinical education processes and components to students, staff and faculty.
Bachelor’s degree and two years relevant program experience.
