Job Description Affiliation Agreement Management (20%)- Develop, negotiate, and maintain clinical affiliation agreements with hospitals, health systems, and other healthcare facilities.
- Develop, negotiate, and maintain affiliation agreements for research sites.
- Maintain comprehensive database of all active affiliations, including key contact information and agreement details.
- Monitor contract renewals and ensure timely execution of agreement amendments both for affiliations monitored centrally and through department/site coordinators.
- Collaborate with legal counsel and institutional compliance teams to review contract terms and conditions.
- Serve as liaison between COM leadership and outside site administrators.
- Resolve conflicts or issues that may arise between the COM and clinical partners
- Cultivate and maintain positive relationships with clinical partners and key stakeholders
- Assist in updating and maintaining policies and procedures related to clinical affiliations and student rotations
- Oversee the placement and scheduling of visiting medical students in clinical rotations.
- Coordinate with clinical departments to determine sufficient capacity.
- Coordinate with clinical departments to disseminate Visiting Student Learning Opportunities (VSLO) data to department coordinators.
- Provide coordinator and faculty training on use of VSLO at MUSC
- Charleston, the MUSC
- AnMed campus, and within the Regional Health Network (RHN). - Coordinate with clinical departments to publish an annual catalog of course offerings in VSLO, including dates available and any department-specific application requirements.
- Manage student application processes, including credential verification and background check coordination.
- Serve as primary point of contact for visiting students, clinical sites, and MUSC coordinators/faculty regarding rotation logistics.
- Monitor student compliance with site-specific requirements including immunizations, drug screening, and orientation completion
- Provides monthly orientation sessions for students completing visiting rotations at MUSC-Charleston.
- Present away student data to the Selectives and Electives Committee and other committees as needed.
- Prepare reports and presentations for COM leadership and accreditation bodies.
- Maintain and update the visiting student guidebook, welcome letter, and other materials provided to visiting students.
- Oversee and serve as the primary contact throughout the onboarding process for all visiting students, including the assignment of NetIDs and PVIDs, Med Hub account creation, Our Day account creation and module assignment/completion, Epic access, remote MUSC access, etc.
- Provide support, as needed, to the Assistant Dean for Clinical Coordination to assist MUSC- COM students going on away rotations.
- Coordinate evaluations to be sent to visiting students’ home institutions.
- Address any compliance issues or concerns that arise with clinical partners.
- Maintain documentation for accreditation reviews and institutional reporting
- Serves as the initial point of contact for students, faculty, and education leadership at the MUSC-AnMed campus; directs questions to the appropriate personnel in the Dean’s Office
- Works with the Associate Dean for Clinical Education and Office of Assessment, Evaluation, and Quality Improvement (OAEQI) to develop and maintain a tracking system to monitor campus comparability, track curriculum outcomes and needs, and ensure alignment with LCME standards.
