Overview
Join the West Virginia Conservation Agency (WVCA)! Are you a highly organized, proactive, and discreet administrative professional? Do you excel at managing complex schedules, handling confidential information, and supporting executive leadership? If so, the WVCA is looking for you to serve as the Executive Assistant to the Executive Director and the WVCA Division Directors.
What You'll Do- Executive Support:
Provide direct, comprehensive administrative support to the Executive Director and WVCA Division Directors, acting as a critical liaison and managing executive communication. - Organizational Management:
Plan and organize the activities of the State Conservation Committee (SCC), the West Virginia Conservation Agency (WVCA), and the WV Conservation Awards Council, Inc. (WVCAC). - Financial & Purchasing:
Serve as Secretary/Treasurer for the WVCAC, managing bookkeeping, financial records, and reports. Handle all State of West Virginia purchasing card duties for the WVCA and SCC, including logs and documentation. - Meeting & Documentation Coordination:
Prepare, organize, and process agendas, meeting minutes, and official correspondence. Coordinate quarterly SCC and WVCAC meetings, including packets and notices. - Confidentiality & Compliance:
Safeguard and prepare confidential correspondence, maintain complex records, and ensure compliance with laws, rules, and procedures related to the assignment area. - Project & Event Coordination:
Coordinate the annual State Farm Tour and assist with the WVACD's annual partnership conference. May involve supervision of staff for special projects.
- Proven ability to work independently, exercise excellent judgment, and show initiative.
- Thorough knowledge of organization procedures and precedents.
- Exceptional written and oral communication skills, including the ability to compose professional correspondence and reports.
- Strong organizational skills, with the ability to plan, prioritize, and coordinate numerous, diverse demands.
- Proficiency in Microsoft Office Suite.
- Knowledge of general office practices and the organization/function of state government.
- Ability to establish and maintain effective working relationships with officials, legislators, and the public.
This is a dynamic, indoor office position requiring sitting, standing, computer use, and communication. Occasional travel, sometimes with overnight stays, is required. Participation in outdoor functions may also be necessary, potentially exposing you to rough terrain and inclement weather.
Minimum QualificationsEducation: Bachelor’s degree from an accredited college or university with a major in business administration, public administration, accounting, finance, public policy analysis or related fields.
Experience: Six (6) years of experience in administration, supply management, travel logistics, and equipment maintenance or a related field.
Education Substitution: Associate degree in related field plus four (4) years full experience in a professional, administrative, or technical position in a related field. The Education Substitution years of experience must be in addition to the required Experience.
