Nature of Work
This vacant position is critical as it provides direct contact with the facility operations department during a crucial time in the rebuilding process of our facility. The role screens incoming calls and takes messages for the Associate Superintendent of Operations (ASO) or Building and Grounds Manager while working with building contractors on the grounds. The candidate is responsible for incoming and outgoing mail, operations staff attendance and leave tracking, organizing files and documents, managing office correspondence, scheduling department meetings, completing monthly reports for operations, and communicating with the Business Office to keep necessary supplies for the operations staff.
The incumbent must ensure ACA and PREA files are up to date for the ASO and performs related work as required.
- Screen and route incoming calls and take messages for the ASO or Building and Grounds Manager.
- Coordinate with building contractors and internal stakeholders on the grounds.
- Manage incoming and outgoing mail and oversee staff attendance and leave records.
- Organize files, documents, and correspondence for the operations department.>
- Schedule department meetings and prepare monthly operations reports.
- Maintain ACA and PREA files and ensure compliance with regulations.
- Communicate with the Business Office regarding supplies and procurement for operations staff.

Minimum Qualifications- Training:
Graduation from a standard high school or the equivalent. - Experience:
Two years of full‑time or equivalent part‑time paid experience in routine office work. - Substitution:
College hours, related business school, or vocational training may be substituted through an established formula for the required experience. - Substitution Formula:
- 90 clock hours = One (1) month of experience
- 1,080 clock hours = One (1) year of experience
- Every 30 undergraduate semester hours = One (1) year of experience
- Associate Degree = Two (2) years of experience
- Bachelor's Degree = Four (4) years of experience
- Every 15 graduate semester hours = One (1) year of experience
- Master's Degree = Two (2) years of experience
- Juris Doctor = Three (3) years of experience
- Doctorate/PhD = Four (4) years of experience
