We're seeking an experienced Executive Assistant who thrives in a fast-paced business environment and enjoys partnering closely with executive leadership
. This is an opportunity for a highly organized, professional, and proactive individual to play a key role in supporting a local executive team and helping ensure day-to-day operations run smoothly and efficiently.
Based on the client requirements, only candidates with prior executive assistant experience will be considered.
- Manage the executive teams calendar, appointments, meetings, and travel arrangements.
- Coordinate internal and external communications on behalf of executive leadership.
- Prepare correspondence, reports, presentations, meeting agendas, and meeting minutes.
- Track action items and assist with follow-up on strategic initiatives and executive priorities.
- Coordinate leadership meetings, board meetings, and special events.
- Maintain confidential files, records, and sensitive business information.
- Serve as a liaison between executive leadership, employees, clients, consultants, and community partners.
- Provide administrative support for special projects and additional business initiatives.
- Manage multiple priorities while maintaining accuracy, professionalism, and discretion.
- Minimum of 2-3 years of Executive Assistant or executive-level administrative support experience supporting senior leaders or executive teams.
- Proven ability to thrive in a dynamic environment, successfully balancing multiple responsibilities and adjusting priorities as business needs change. No two days are the same in this role.
- Strong written and verbal communication skills with the ability to interact professionally across all levels of an organization.
- Service-oriented mindset with a commitment to supporting executive leadership and organizational success.
- Demonstrated ability to maintain strict confidentiality and exercise sound judgment when handling sensitive business information.
- Experience with document management, tracking, version control, and maintaining organized business records.
Advanced proficiency with Microsoft Office Suite, particularly Word, Excel, PowerPoint, Outlook, and Teams. - Exceptional attention to detail while maintaining an understanding of broader business objectives and priorities.
- Experience coordinating calendars, scheduling meetings, preparing and reviewing documents, taking meeting notes, tracking action items, and providing comprehensive administrative support.
- Ability to work independently while collaborating effectively with executive leadership and cross-functional teams.
- Experience reviewing, organizing, or tracking legal documents and related records.
- Exposure to accounting, financial, or business-related documentation.
- Associate's or Bachelor's degree.
- Experience supporting organizations in professional services, engineering, architecture, consulting, or similar business environments. While industry experience may be beneficial, it is not required and is less important than demonstrated Executive Assistant capabilities and executive support experience.
