Executive Assistant
The West Virginia Economic Development Authority (WVEDA) is seeking a highly skilled, self-motivated, and detail-oriented Executive Assistant to provide comprehensive administrative and operational support to our leadership team and Board of Directors. In this role, you will serve as a central pillar of our daily operations managing high-level board meeting logistics, serving as recording secretary, coordinating complex travel arrangements, and handling vital financial tasks like P-Card reconciliation and processing WVOASIS documents.

• Screen and direct phone calls to proper departments
• Handle all mailings for staff as needed (invoices, loan documents, etc.)
• Pay invoices using P-Card and ensure they are paid in a timely manner. Reconcile PCard monthly.
• Responsible for assembling the monthly WVEDA board meeting packages, act as recording secretary for all WVEDA board meetings, and prepare minutes from the WVEDA board meetings.
• Coordinate meetings for management including the setup of virtual meetings and conference calls.
• Prepare travel reimbursement for board members attending monthly WVEDA Board meetings, prepare and process travel reimbursement for WVEDA staff in WVOASIS.
• Types a variety of documents, often confidential in nature.
• Proficient with the WVOASIS system and Purchasing Card Program is preferred.
• Assist the WVEDA Directors and staff as necessary and perform other duties as assigned.
Minimum QualificationsKnowledge of meeting preparation processes, including agenda creation and minutes Understanding of scheduling, travel coordination, and calendar management Proficiency with Microsoft Office Suite, GMAIL, Google Meet, and other business communication tools Ability to maintain strict confidentiality and handle sensitive information Skilled in preparing professional correspondence, reports, and presentations Skilled at managing competing priorities in fast paced environments Excellent written and verbal communication skills to effectively communicate with staff, board members, and clients Ability to anticipate needs and proactively resolve issues Ability to prioritize tasks and manage multiple deadlines – time management skills.
Training:
Graduation from a standard four-year high school or the equivalent.
Experience:
Six years of full-time or equivalent part-time paid experience in administrative work. Experience supporting executives, senior managers, or high-level leadership preferred
