Under general supervision of the Investigator and Fraud Management (IFM) Directors, this position provides administrative support and coordination for the unit. Key responsibilities include supporting unit Directors with meeting organization, scheduling, and travel arrangements, including the preparation of required in-state and out-of-state travel forms. The incumbent will monitor case management systems, analyze extracted data, and compile comprehensive monthly and annual statistical reports, ensuring data accuracy and regulatory compliance.
Duties also involve drafting, proofreading, and editing confidential reports, memoranda, expense accounts, and subpoenas while adhering to state and federal rules and Office of Inspector General (OIG) policies. Interact and clearly communicate with state and federal agencies as well as the public to clarify information and answer general questions.
The candidate will design, develop, and update forms using Microsoft Office, Google Workspace, and Adobe Professional, troubleshooting software issues to maintain operational efficiency. Administrative duties include managing office space, organizing and archiving files, and coordinating supply orders. Additionally this position is responsible for tracking and approving unit leave requests, monitoring leave balances, and reviewing and approving timecards for the unit, while keeping the Deputy Directors apprised of schedules and concerns.
The position further supports the recruitment process by preparing job postings, managing applicant registers, organizing interview packets, and ensuring candidate documentation is complete for OIG HR review. Finally, the incumbent will maintain all interview and employee training records.

Minimum Qualifications
Training:
Graduation from an accredited four-year college or university.
Substitution:
Full-time or equivalent part-time paid experience in paraprofessional or responsible clerical work at a level consistent with the work performed by an Office Assistant III and which required application of state and federal laws and/or guidelines, may be substituted for the required training on a year-for-year basis.
