Full Time Administrative Assistant @ Galewood
We are seeking a dedicated and organized individual to join our team at Galewood Elementary as a Full‑Time Administrative Assistant. This position plays a crucial role in supporting the daily operations of the school, ensuring that administrative tasks are completed efficiently and effectively. The ideal candidate will possess strong communication skills, attention to detail, and a commitment to fostering a positive educational environment for students, staff, and families.
Responsibilities- Provide administrative support to the school administration, including managing schedules, organizing meetings, and maintaining records.
- Answer phone calls, respond to inquiries, and direct communications to the appropriate personnel.
- Assist with the preparation and distribution of school communications, newsletters, and reports.
- Maintain student and staff files, ensuring confidentiality and compliance with school policies.
- Coordinate and manage school events, including scheduling, logistics, and communication with participants.
- Manage office supplies and inventory, placing orders as necessary to ensure the office is well‑stocked.
- Support the enrollment and registration process for new students, including data entry and record maintenance.
- Collaborate with teachers and staff to facilitate smooth day‑to‑day operations within the school.
- Assist with basic bookkeeping tasks, including tracking expenses and managing budgets as needed.
- Perform other duties as assigned by school administration.
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proven experience as an administrative assistant or in a similar role, preferably within an educational setting.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment (printers, copiers, etc.).
- Excellent verbal and written communication skills, with a strong ability to interact positively with students, parents, and staff.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and prioritize effectively.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- A proactive and positive attitude, with a willingness to assist others and contribute to a collaborative team environment.
- Basic knowledge of bookkeeping and financial management is preferred.
- Flexibility to adapt to changing priorities and a dynamic school environment.
- Associate’s Degree preferred.
- At least 3 years of recent secretarial experience.
- Successful reference and employment checks.
- Ability and flexibility to deal well with students, staff, parents, and public.
