Billing & Payroll Associate

Blue Max Trucking is a growing transportation company specializing in aggregate hauling by dump truck and dump trailer. With approximately six locations across the Southeast and more than 300 employees, we support a wide range of construction and grading companies. We are looking for a Billing & Payroll Associate to join our Charlotte headquarters. This role reports to the Controller and works closely with Payroll, HR, Accounting, Operations, customers, and third-party vendors.

This is a great opportunity for someone who is organized, detail-oriented, driven, and highly proficient in Excel. The position supports several important areas of the business, including weekly billing, accounts receivable, payroll, and employee benefits.

• Complete weekly billing reconciliations and review billing reports for accuracy.
• Compare tickets and purchase orders against TruckIT billing data.
• Generate customer invoices and post customer payments.
• Reconcile customer payments and research billing discrepancies.
• Assist with health insurance and payroll deduction reconciliations.
• Work with employees and third-party vendors to resolve payroll and benefits questions.
• Cross-train on the full weekly payroll process and develop into a reliable company-wide payroll backup.

• Strong Microsoft Excel skills, including VLOOKUP, filtering, sorting, conditional formatting, and comparing large datasets.
• Exceptional attention to detail and accuracy.
• Strong organization and time-management skills.
• Ability to meet firm weekly deadlines.
• Dependable, self-motivated, and willing to take ownership of assigned responsibilities.
• Comfortable researching discrepancies and asking questions when needed.
• Ability to handle confidential and sensitive information appropriately.
• Quick learner who is comfortable working across multiple systems and departments.
• Experience with ADP or TruckIT is helpful but not required. A college degree is preferred, but we place greater value on Excel ability, attention to detail, work ethic, and the ability to learn.
