Role
Summary:
The Project Coordinator will provide routine administrative support to internal and external project management team members. This position will collect, process, input, organize and file data and documentation from various sources and stakeholders to support administrative, documentation, data, reporting, compliance and communications needs of projects. All activities are in support of JE Dunn's strategy, vision and values.
- Utilizes responsibility matrix (Work Smart) to align with ongoing business process improvement efforts, supporting full project lifecycle.
- Collects, processes, inputs, organizes and files data and documentation from various sources and stakeholders in accordance with established processes.
- Processes information within specific time frames to maintain efficiency and timeliness.
- Provides timely and effective communication to internal and external stakeholders.
- Supports project management during the bidding process with deliverables such as bid invitations, specifications, regulatory and compliance requirements, and bid communications.
- Supports the award process by issuing and/or preparing bond memos, setting up and executing subcontracts, and providing system access to dashboards.
- Organizes information into standard formats and reports in systems and locations (e.g., project dashboard, CMiC, electronic signature tools) and maintains documents per file structure.
- Coordinates submission of project documentation per project requirements. Prepares routine correspondence and reviews outgoing materials for standards and formats.
- Creates and distributes potential change items (PCIs) and RFIs, and follows up on pricing and change orders as needed.
- Supports project deliverables such as managing information on the project dashboard and processing documents (submittals, pay applications, bills of sale, compliance docs, RFIs, change documents).
- Tracks and ensures compliance for documentation (badging, certified payroll, diversity reporting, insurance certificates, bonds, lien waivers, affidavits) before releasing payments to subcontractors.
- May provide administrative support to other functions, including travel arrangements and expense reporting.
- Shares subject matter expertise to support teamwork and deliver results, while handling highly confidential information with discretion and integrity.
- Demonstrates commitment to customer satisfaction and responds promptly to client needs; manages difficult or emotional situations promptly and efficiently.

- Ability to work accurately and completely, and in a timely manner
- Strong communication skills, verbal and written
- Proficiency in MS Office
- Excellent organizational skills
- Ability to work collaboratively and cross-functionally to obtain information or solve problems
- Critical thinking ability
- Attention to detail to deliver quality results
- Ability to learn and use various software, tools and systems as needed
- Knowledge of administrative, office and general billing procedures
- Ability to build relationships and collaborate within a team, internally and externally
High School Diploma or GED (Required).
Experience- 2+ years administrative or clerical support experience (Required)
- 2+ years construction project support experience (Preferred)
- Must be able to lift up to 10 pounds
- May require periods of travel
- Must be willing to work non-traditional hours to meet project needs
- Normal office environment, with potential for extreme conditions (hot or cold)
